Lifespace Communities would like to introduce the opportunity to become a Business Office Manager at Harbour's Edge in Delray Beach, FL 33483.
The Business Office Manager is responsible for the revenue cycle at the community and coordinating financial operations for the assigned community with the Lifespace home office. Responsibilities include ensuring the proper implementation of sound internal controls; collaborating with the Executive Director and department directors on ways to enhance revenue, reduce expenses and provide exceptional customer service; and generation and maintenance of accurate resident private pay statements.
A few other details about the role:
- Member of the community leadership team; assists the Executive Director with initiatives to improve customer service and financial outcomes.
- Responsible for the revenue cycle at the community; understands the residents’ agreements to ensure charges are accurately invoiced each month, statements are provided to the residents timely, payment is collected timely and cash is appropriately posted.
- Responsible for all communication with residents, and their family members, regarding financial inquiries on contracts, billing and charges.
- Responsible for entering census actions for all levels of living; maintain accurate census data in the healthcare management system.
- Responsible for following up with private pay residents on past due balances, documenting the activities in accordance with the collection policy; and escalate collection issues.
- Responsible for ensuring resident refunds are issued in accordance with the residency agreement.
- Assist in hiring, performance management and corrective action for assigned team members.
- Act as the liaison between the centralized accounts payable department and the community; train and assist team members on the software, complete new vendor request forms when needed.
- Responsible for submitting to the home office accountant a list of services that have been performed, but not yet invoiced, monthly.
- Responsible for entering fixed asset requests in the Enterprise Resource Planning (ERP) system for approval; assists the Executive Director in managing all fixed asset requests
- Assist with the budget, forecasting and audit processes.
- Comply with applicable federal, state, and local laws, rules, and regulations; maintains knowledge of and follows all company policies and procedures.
- Obtain knowledge and demonstrate the principles of Living Lifespace, person directed care and successful aging philosophies and their inherent core values of commitment, respect, compassion, dedication, teamwork and quality. Team member will support, actively participate and act in accordance with the principles of the Living Lifespace service culture and be familiar with and fluent in the language and service pillars of Living Lifespace.
- Maintain regular and punctual attendance at work and meetings.

- Bachelor’s degree, with a major or minor in accounting, finance, or a related field preferred.
- Three to five years of previous billing and collection experience.
- Or equivalent combination of education and experience.
- Experience leading a team
- Must be able to work in both an individual and team environment.
- Solid organizational skills including attention to detail and multi-tasking skills.
- Ability to prioritize to meet deadlines.
- Ability to read, write and speak English sufficient to perform job duties and to interact and communicate with residents, vendors and team members.
